Daily Goal: Use the final day on site to finish up any pre-existing projects and ask any last questions. Within the past two weeks, Madison and I had started discussing three events coming up. Today we finally sat down and wrote out all of the logistics we could think of, starting with the membership drive they have coming up on September 22. We referred back to the postcard announcing the event to ensure everything advertised would be included. Then, Madison and I went through and wrote down how many volunteers they need and for what specific job. It looked something like this:
They have already determined who will give the tours and most likely who will be running the survey table where people can fill out a survey (that Madison and I later discussed) about the Playhouse and their experiences there. The check in table has to provide a membership brochure, a raffle ticket, and a discounted ticket to the shows on that night. We also determined a basic outline of what food will be needed because Madison will be the person to go pick that up. We decide on some simple staple items like chips, crackers, meats, cheese, fruits, vegetables, and desserts. Within there we branched out to certain kinds and in general made sure there would be enough for people to choose from. Finally, we discussed what would be in the raffle baskets. Basic items included free drink vouchers, free snack coupons, free tickets to a show at the Long Beach Playhouse. We also talked about offering less common items such as tickets to the Staff and Friends Cabaret in February, one night reserved parking spot, or lapel pins. This also tied into talking about special membership benefits if they sign up at this event. They will receive an extra drink voucher, a lapel pin, a temporary tattoo with their theater’s logo, and one free item from the upcoming 90th anniversary logo contest. After we finished outlining this event, we began talking about the survey that would be there. This survey will be used to help the Long Beach Playhouse improve and cater to the community as well as help with some demographic information they need for grants. The first half of the survey asks about the person. It contains questions like:
From there the survey segways into asking about their theater habits by asking how often they attend live theater and where. The people being surveyed will be asked how often they attend shows at the Long Beach Playhouse and if they see shows on the Mainstage, in the Studio, or both, For artistic programming, we formed questions about their favorite and least favorite shows at the Playhouse. This question was asked in a couple different ways, once asking about their favorite show the Playhouse produced at any time and then asking what show recently have they enjoyed or not enjoyed. This will help the board decide on shows for later seasons based on what the majority of the audience is currently enjoying. We included a space for the people to write their suggestions for upcoming shows as well as other suggestions for the theater in general. Finally, Madison and I chose some dates and finalized the details of the Long Beach Playhouse 90th Anniversary Logo Contest. People can submit designs for the 90th anniversary logo. It will then be voted on by the board and staff members to find the top two designs. After that, the public will vote on their favorite logo, and that will be the winner. The timeline we created was the following: Contest Announced: September 22, 2018 (opening night of Sherlock) Submission Deadline: November 10, 2018 Staff Voting: November 15, 2018 - November 28, 2018 Public Voting: December 1, 2018 - December 25, 2018 Winner announced: January 1, 2019 The winner of this contest will receive tickets and vouchers for the Long Beach Playhouse, along with merchandise with their logo printed on it. This is included with the announcement in an effort to get people to actually submit logo designs. The photo above this section is the announcement that will be printed in the program for Sherlock Holmes. Reflection: The last day of work was bittersweet. I have greatly enjoyed this processes even if it was challenging at times to understand what I needed to understand. I was glad to close out some final projects today. Event planning is something that can be difficult as the event gets closer, but it can be made easier with multiple people to bounce ideas off of. I honestly found working out these details was easy, or easier than I expected. It was a nice way to end my time at the theater, by planning events that would bring people in possibly for the first time.
